Missed Call Text Back for Contractors: What It Is and What It Costs

Posted in :

Ken the AI Guy

I was talking to an HVAC owner in Marysville a few months back. Good guy, solid reputation, been in business for 11 years. He told me he figured he was answering most of his calls. When we actually looked at the data, he was answering about half of them. The rest went to voicemail or just rang out. That’s a lot of potential jobs walking out the door every week.

If you’re a contractor and you’ve wondered about missed call text back for contractors, this post is the plain-language breakdown you’ve been looking for. What it is, how it works, what it costs, and whether it’s worth it for your business.

What Is Missed Call Text Back for Contractors?

Missed call text back (MCTB) is exactly what it sounds like. When a call comes in and nobody picks up, the system automatically sends a text message to that caller within 30 to 60 seconds. No manual effort. No staff needed. It just fires off on its own.

It’s not a lead generation tool. It doesn’t create new demand. It recovers demand that already exists but is slipping through the cracks because nobody answered the phone.

How the Automation Works Step by Step

The setup depends on the platform, but most work one of three ways. You either port your existing business number to the platform, set up a call-forwarding rule so unanswered calls route through the system, or use a local mirror number that handles the automation side.

When a call goes unanswered, the trigger fires. A text goes out to the caller. If they reply, the conversation can either be handed off to a staff member or picked up by an AI that answers questions, collects job details, and can even book the appointment.

The system runs 24/7. No extra staffing cost.

What the Text Message Actually Says

A basic version looks something like: “Hey, this is [Business Name]. Sorry we missed you. We’d love to help. What can we do for you?” You can fully customize it. Different messages for after-hours versus business hours. A booking link. A specific call to action. Whatever fits your business.

The key is speed. A text landing within 60 seconds keeps the lead warm. A voicemail that gets returned three hours later does not.

Why Missed Calls Are Costing Contractors Real Money

Here’s a number that should bother you. A 2024 study analyzing 85 businesses across 58 industries found that only 37.8% of incoming calls were answered by a live person. The rest went to voicemail or got no response at all.

And here’s what happens next.

Key Stats: What Happens After a Call Goes Unanswered

Of the people whose calls go unanswered, 85% never call back. And 62% contact a competitor right away. That’s not a lead that’s waiting patiently for you. That’s a lead that’s gone.

SMS open rates are over 90% within three minutes of receipt, according to CTIA. Compare that to email. Responding within 60 seconds increases conversions by 391%, while waiting just five minutes cuts your chances of qualifying that lead by 80%. Those numbers come from Harvard Business Review and MIT research, and they hold up in the real world.

Housecall Pro’s 2024 platform data showed that contractors using MCTB recovered an average of 37% of missed call leads within 24 hours. Businesses relying on manual callbacks recovered less than 15%.

After-Hours and Weekend Calls: The Hidden Revenue Leak

This is where it really adds up for home service contractors. Between 35% and 40% of inbound calls to contractors come in after business hours. Weekend unanswered-call rates jump to 41%, compared to 18% on weekdays.

Think about that. Someone’s AC goes out on a Saturday afternoon. They call three HVAC companies. The first one sends a text back in under a minute. The other two go to voicemail. Who gets the job?

If you’re running a lean operation without office staff, those after-hours and weekend calls are almost certainly going unanswered right now. MCTB is specifically designed for that gap. (If you’re also thinking about how AI tools fit into your overall setup, I wrote about that more in my post on AI tools for HVAC contractors in Marysville.)

How Much Does Missed Call Text Back Cost?

This is the part most people want to know. The pricing landscape ranges from cheap standalone tools to full platforms with MCTB baked in.

Standalone Tools ($5 to $99/month)

Entry-level standalone tools start around $29/month. Enzak, which is one of the more well-known standalone options, lists at $99/month plus a $99 one-time setup fee. These tools do one thing: send the text. They don’t manage the conversation after that. You still need to follow up manually or connect them to something else.

All-in-One Platforms with MCTB Built In ($149 to $399/month)

Housecall Pro includes MCTB starting on their Essentials plan, which runs approximately $149 to $189/month. Their lower-tier Basic plan at around $59 to $79/month does not include it.

Podium sits at approximately $399/month and bundles MCTB with a consolidated inbox, automated Google review requests, and a payments layer. You’re paying for a broader system, not just the text-back feature.

The platform I build on for my clients is Go High Level, which includes MCTB alongside AI follow-up, lead capture, automated SMS and email sequences, and Google Business Profile tools. It’s all in one place, which matters more than people realize until they’ve tried to stitch five tools together themselves.

DIY on Twilio: The Cheapest Option

If you’re technically inclined, you can build something on Twilio for almost nothing per message. But you’re writing the logic, managing the compliance, setting up the webhooks, and maintaining it yourself. For a contractor running a business, that’s usually not a good use of time. The cheap option isn’t cheap when you factor in your hours.

What to Look for When Choosing a Tool

AI Follow-Up vs. Simple Auto-Reply

A basic MCTB tool sends one message and stops. That’s better than nothing. But if the customer replies at 9pm on a Sunday and nobody sees it until Monday morning, you’ve still lost the lead.

AI follow-up means the system can actually carry on the conversation. Answer common questions. Ask what kind of job it is. Collect the address. Drop a booking link. The gap in price between a standalone tool at $29/month and an AI answering layer at $25 to $50/month is small enough that it usually makes sense to go with the AI option from the start.

TCPA Compliance: What Contractors Need to Know

This one matters and a lot of people skip over it. Unlike a website form where someone opts in by submitting their info, a missed call is different. The caller didn’t explicitly consent to receive a marketing text. Non-compliant text campaigns can trigger statutory damages of $500 to $1,500 per violation, and as of April 2025, businesses have to honor opt-out requests made through any reasonable method, not just a STOP reply. That includes opt-outs by email, voicemail, or informal language, processed within 10 business days.

Reputable platforms handle the compliance language automatically. But if you’re building something DIY or using a cut-rate tool, make sure you know what’s in the message and how opt-outs are handled.

Is Missed Call Text Back Worth It for Your Contracting Business?

When It Adds the Most Value

MCTB earns its keep fast if you’re a solo operator or a small crew without a dedicated person answering phones all day. If you’re taking calls while you’re on a job site, driving, or working after hours, you’re missing calls. That’s just reality. A system that catches those and starts the conversation automatically is directly recovering revenue you’re currently leaving behind.

Podium’s 2024 data showed a 40% higher booking rate for businesses that respond to missed calls within five minutes via text versus calling back within the hour. That’s a real difference in jobs booked.

It also pairs well with other visibility work. If you’re putting effort into your Google Business Profile to bring in more calls, as I covered in my guide on Google Business Profile optimization for HVAC contractors, it makes no sense to let those hard-earned leads go unanswered.

When You Might Not Need It

If you have dedicated office staff answering every call during business hours and you’re not getting many after-hours inquiries, MCTB is a lower priority. It still adds a safety net, but the ROI isn’t as obvious. For most contractors I talk to in Snohomish County, though, that’s not the situation they’re in.

The honest takeaway here is that MCTB is one piece of a larger system. The text-back itself is simple. But connecting it to AI follow-up, a CRM, automated booking, and compliance-safe messaging is where it gets complicated fast. Stitching together a standalone tool, a separate CRM, a Twilio account, and a compliance layer is doable, but it takes time to set up and time to maintain.

That’s exactly why I build this as a done-for-you system for local contractors. One platform, everything connected, and I manage it so you don’t have to think about it. If you want to see how it would work for your business, reach out through my site and we can take a look.
